TheDocs vs Help Scout Docs
Help Scout Docs is simple on purpose, and that is often the right call. This page is about the specific points where simple stops being enough.
TheDocs vs Help Scout Docs: when does the difference matter?
Help Scout Docs is a lightweight knowledge base bundled with the Help Scout helpdesk. It publishes a clean public help centre quickly and does not ask you to configure much. TheDocs is a fuller documentation platform: review and approval workflow, product versioning, per-article translation status, private and partner audiences, API reference and read acknowledgement. If none of those appear on your requirements list, Help Scout Docs is the simpler answer.
- Help Scout Docs: fast to launch, little to configure, bundled with the helpdesk.
- TheDocs: workflow, versioning, localisation, multiple audiences.
- Both integrate with Help Scout for agent article suggestions.
- TheDocs is helpdesk-independent; Help Scout Docs is not.
- Setup effort is comparable for a basic public help centre.
- Migration from Help Scout Docs preserves structure and URLs.

Simplicity is a feature until it is a ceiling
When Help Scout Docs is the right answer
Choosing a tool with fewer options is a legitimate strategy, particularly for a small team.
- One product, one language, one audience, and no requirement for an approval step.
- You are already on Help Scout and value one vendor and one bill.
- Nobody on the team wants to administer a documentation platform.
- A clean help centre in an afternoon is worth more to you than capability you will not use.
If this describes you, stay where you are. Migrating for features you do not need is a cost, not an upgrade.
The four things that usually force a move
Teams tend to arrive here for one of a small number of specific reasons.
- Someone needs to approve content before it publishes - usually after a wrong article caused a problem.
- A second product version has to be documented without breaking the first.
- A second language is needed, and maintaining a parallel copy by hand has become untenable.
- A partner or internal audience needs documentation that customers must not see.
- A fifth, less common: needing API reference generated from an OpenAPI specification.
