The current protocol, on the device in front of them
Clinical documentation fails in a specific way: the version on the intranet is right, and the printed copy on the ward is eighteen months old.
- Approval and acknowledgement
- Mobile-first reading
- Version history retained
How is TheDocs used in healthcare?
For controlled documentation: clinical protocols and pathways, administrative and operational procedures, information governance policy, and patient-facing information. Each document has a named owner, a defined approval path, a review cycle and an acknowledgement record, and superseded versions are retained so you can show what was in force at any date. TheDocs does not hold patient data.
- Named owners, approval paths and review cycles per document.
- Read acknowledgement, reset when a protocol is updated.
- Superseded versions retained with their approval record.
- Mobile-first reading for ward and clinic devices.
- Controlled PDF export with version and date on every page.
- Separate public project for patient-facing information.
What gets documented
Clinical protocols
Pathways, guidelines and standard treatment protocols, owned by a clinical lead and approved through governance.
Operational procedures
Admissions, discharge, theatre scheduling, infection control, equipment handling.
Information governance
Data handling, consent, records management, access procedures.
Staff onboarding
Role and department-specific induction paths, with mandatory acknowledgements built in.
Patient information
Pre-procedure instructions, aftercare and appointment preparation, in plain language and several languages.
Incident procedures
What to do, who to escalate to, and what to record - findable under pressure.
Where healthcare documentation usually breaks
The printed copy problem
Every hospital has a folder somewhere with a protocol that was current in 2022. Getting to a device is only half the fix - printed copies have to identify themselves.
- Mobile-first reading that works on a weak signal, which most wards have.
- PDF export with version number, approval date and 'valid at time of printing' on every page.
- Optional QR codes per protocol for posting at a station, always resolving to the current version.
- A visible last-reviewed date on every document so staff can judge it themselves.
Governance that produces evidence
Clinical governance is a documentation exercise as much as a clinical one. The tooling should reduce that burden rather than add to it.
- Approval paths that reflect your committee structure, with sequential steps.
- Review cycles aligned to your governance calendar, with escalation when an owner misses one.
- Acknowledgement reports by department, role or individual, exportable for a governance meeting.
- The exact text in force on any past date, retrievable with its approval record.
TheDocs is a documentation platform. It is not a clinical system and must not be used to store patient data.
