Solution

One source. An online manual and a print-ready PDF.

Manuals that exist only as a PDF are unsearchable and always slightly out of date. Manuals that exist only online cannot go in the box. Write once, publish both.

  • Branded PDF export
  • Per-model versions
  • Translations tracked

What is user manual software?

User manual software is a tool for authoring product manuals and publishing them in more than one format from a single source. In TheDocs you write the manual as structured articles, publish it as a searchable online manual on your own domain, and export the same content as a branded, print-ready PDF. Model variants are handled as versions and shared sections as snippets, so a change to a common warning propagates everywhere it appears.

  • Single source publishing to web and to print-ready PDF.
  • Model or variant handled as versions, with a reader-facing selector.
  • Shared sections as snippets - one edit updates every model.
  • Per-article translation status across 60+ languages.
  • QR-linkable deep URLs for the product or its packaging.
  • Print-resolution image handling separate from the web version.
In detail

Manuals have constraints that help centres do not

Print output that survives review

A PDF exported from a web tool usually looks like a web page that has been printed. For a manual that goes in a box, that is not acceptable.

  • Cover page with product name, model, version and date.
  • Generated table of contents with page numbers, plus running headers and footers.
  • Page breaks controlled per section, so a procedure does not split across pages mid-step.
  • Images embedded at print resolution, with an optional separate high-resolution asset per image.
  • Export a chapter, a category or the entire manual, on demand or scheduled.

Many models, mostly the same content

Product families are where manual maintenance goes wrong: eight variants, ninety percent identical, maintained as eight separate documents.

  • Versions per model, forked from a base, edited only where they genuinely differ.
  • Snippets for shared content - safety warnings, regulatory notices, disposal instructions.
  • Conditional blocks that appear only for models with a particular feature.
  • A coverage view showing which model manuals were carried forward without review.

Teams migrating a product family from Word usually find the snippet work pays for itself on the first regulatory text change.

Questions people ask before they start

Yes. Use versions for model variants and snippets for the sections they share, so a change to a common safety warning updates every model at once.

Uploaded images are compressed and served in modern formats online, and embedded at print resolution in the PDF. You can supply a separate high-resolution asset for print where it matters.

Yes - a model selector on the portal, deep links from a QR code on the product or its packaging, and search results scoped to the model the reader has selected.
