Procedures people follow, and evidence you can produce

SOPs fail in two ways: staff work from an out-of-date copy, or you cannot prove what was in force last March. Both are document control problems.

  • Approval trails
  • Read acknowledgement
  • Superseded versions retained

What is SOP software?

SOP software manages standard operating procedures as controlled documents: it holds one authoritative version of each procedure, routes changes through named approvers, distributes the approved version to the people who must follow it, records who has acknowledged reading it, and retains superseded versions with their approval records so you can show what was in force at any point in the past.

  • One authoritative version; no shared-drive copies to go stale.
  • Sequential approval steps with named or group approvers.
  • Read acknowledgement per person, reset when a new version is approved.
  • Superseded versions retained with their approval record.
  • Review cycles that flag a procedure before it lapses.
  • Mobile-first reading, plus branded PDF export for printing.
Lifecycle

The lifecycle of a controlled procedure

  1. 01

    Draft

Written by the process owner, invisible to readers. Structured as numbered steps with prerequisites, safety notes and expected outcomes.

  2. 02

    Approve

Routed through the approvers that category requires - operations then quality, for example - each seeing a diff of what changed.

  3. 03

    Distribute

Published to the people who need it, with acknowledgement requested from those who must confirm they have read it.

  4. 04

    Review

A next-review date on every procedure. Owners are reminded before it lapses; overdue procedures surface on a dashboard.

In detail

What an auditor tends to ask for

Evidence, in minutes rather than days

Most audit pain is not the absence of records. It is that the records are spread across email, a shared drive and somebody's memory.

  • Who wrote each version, who approved it, and when - on one screen per procedure.
  • The exact text in force on a chosen date, with its approval record attached.
  • Acknowledgement reports by person, by team or by document, exportable as CSV.
  • A full change history, including who restored a previous version and why.
  • Access log showing who opened a restricted procedure and when.

TheDocs handles document control. It is not a quality management system - CAPA, audits and training records stay in your QMS, and the API links the two.

Reaching people who are not at a desk

A procedure that only opens well on a laptop is a procedure that gets printed, and printed procedures go out of date silently.

  • Mobile-first reading with large touch targets and readable type at arm's length.
  • Pages that load on a weak connection, which matters in a plant or a warehouse.
  • Branded PDF export with version number and approval date printed on every page, so a printed copy identifies itself.
  • Optional QR codes per procedure for posting at a workstation, resolving to the current version.
Frequently asked

Questions people ask before they start

Yes. Read acknowledgement can be required per article for named people or groups. When a new version is approved, acknowledgement resets and the people affected are notified.

Yes. Superseded versions are retained with their approval record, so you can produce the exact text that was live on any given date along with who approved it and when.

No. TheDocs handles controlled documents - authoring, approval, distribution, acknowledgement and history. It does not handle CAPA, audits, non-conformance or training records. Many customers run it alongside a QMS and use the API to link the two.

Yes. The portal is mobile-first and pages stay usable on a poor connection. Procedures also export to branded PDF for printing where a device is not practical.

Yes, through per-site categories with their own permissions, or separate projects where the divergence is substantial. Shared content lives in snippets so common steps stay common.
